Greetings CUCCOA Colleagues!

The Atlantic Region is very excited to host the CUCCOA Annual Conference in historic Charlottetown, PEI this October 5-8, “CUCCOA of Greener Gables”.  Meeting just moments away from the birthplace of Confederation, there is no better place to celebrate CUCCOA’s first 30 years as an association and plan for the next 30 years.  

As part of our celebration and planning for the future, we will be organizing the first ever green CUCCOA conference.  We are proud to be incorporating questions of environmental responsibility in every decision we make.  Each year we can build on the foundation from this year and reduce the environmental footprint of our conference. 

In addition to two great themes for the conference, we are taking feedback from the CUCCOA Café strategic planning session; the AGM; and the conference evaluations in Kelowna very seriously and have made some changes to the conference, while still holding true to the traditions we value.

We have changed the schedule a bit to have Regional Meetings first thing in the program, and the AGM in the middle.  We have made Wednesday a full day, concluding with a closing awards banquet at the Lucy Maud Dining Room which is part of the Culinary Institute, an affiliate of Holland College.  We will also get to see the UPEI campus with a breakfast and campus tour on Tuesday morning.  These changes allow for a stronger focus on CUCCOA business as well as more time for sessions and for networking. 

Our program will be designed based on feedback from members, so please let us know what topics you want covered. We want the program to emphasize the strength of our association – you, the members – so when you see the call for programs, please submit a proposal.  You don’t need to be an expert on the subject, you just need to be willing to share your experience and facilitate a discussion with your colleagues. 

Finally, we have heard you loud and clear over the years and we will continue to focus on the valuable networking that occurs at the Annual Conference.  Our hosts have planned exciting evening activities and we are working hard to provide networking opportunities at every event.

So, take some time to review the web site and feel free to contact us to ask us questions or provide feedback.  Also, in the spirit of the green conference, please don’t print items from this site unless you have to.  If you do print, please use recycled paper and print on both sides.  We’re looking forward to seeing you all in PEI when we look forward to “CUCCOA of Greener Gables”.

We will be offering optional tours on Sunday October 5.  Plan to come early to enjoy these options:

Tour 1: Fox Meadow Golf

Fox Meadow Golf and Country Club is one of the newest and brightest jewels in Prince Edward Island's golfing crown and is truly a masterpiece that must be experienced.  Fox Meadow is the perfect solution to Prince Edward Island's growing love for golf. It is located just five minutes from Charlottetown on the Kinlock Road in the heart of Stratford.

Tour 2: Organic Farm & Wind Farm Tour
8:30am – 5:00pm

Get started on the Green Conference early by joining us for a tour of a wind farm and an organic farm in beautiful Prince Edward Island; leaders in environmentally sound practices here in Canada.  The tour will be a full day and we will stop for lunch, though lunch is not included in the price.  Join us for this interesting, fun and unique adventure.

Tour 3: The Island's Finest Tour
Departs Charlottetown 9:30am – meet in lobby at 9:00am

View rolling farmlands, stunning seascapes, tiny villages and bustling harbours along the Blue Heron Drive as we get ready to tour the North Shore area. Brief photo stops at quaint little fishing villages, lighthouses and the world class Cavendish Beach. Tour on your own at Green Gables House - This old farm site inspired L.M. Montgomery's first novel, Anne of Green Gables, published in 1908. A must stop for a leisurely riverside lunch (not included) will be at Prince Edward Island Preserve Company, located in one of Canada's prettiest villages. The company uses locally grown fruit to make delicious jams and marmalades.

They are famous for their great quality food. The menu is simple and it celebrates the wonderful food that is grown or fished on the Island.

Enjoy the view at PEI's famous Cape Tryon Lighthouse. Browse through the craft shops in the area before we drive on to French River, where you will enjoy a breathtaking combination of blue water, green rolling hills, and red soil-the perfect photo opportunity! Our final destination will be the Lake of Shining Waters that inspired L. M. Montgomery at Silver Bush and Green Gables Museum.

Our hosts have been planning fantastic evening activities and we have plans to incorporate networking opportunities throughout the conference.  Here are some of the things we have planned.

Newcomers & Opening Reception
Sunday October 5 7:00 Newcomers and 7:30 delegates. 
Welcome to Charlottetown and welcome to CUCCOA!  The newcomers reception is a chance for first-time delegates to meet the board and the host committee and to learn about what the conference will offer them.  Shortly after, all delegates will join us for our annual reunion!  This evening is a chance to catch up with old friends, meet new ones, and hear all about what has been happening with our colleagues in conference services across the country.  Light snacks will be provided and guests are welcome. 

Hospitality Suite
A CUCCOA tradition and often the site of many great ideas and engaging conversation, join us in the hospitality suite on Sunday (10pm-1am) and Monday (11pm-1am).  This is one of the best places to get to know your colleagues and help each other figure out challenges and celebrate success on your campus. 

Free Time
We have strategically placed free time each evening of the conference right before dinner and the evening activities.  This is a great chance to socialize with your fellow CUCCOA-ians, sharing what you learned in the sessions and making plans for future projects.  

Flex Mussels & Pub Tour Scavenger Hunt
Monday October 6 7:00pm-11:00pm
An evening in Charlottetown would not be complete without a trip to Flex Mussels for supper followed by the best Scavenger Hunt you’ve ever been on!  With help from your CUCCOA colleagues, follow the clues to pubs around town….we’ll even do our best to make sure you find your way back to the hotel in time for the Hospitality Suite. 

UPEI Campus Tour
Tuesday October 7 7:30am-9:30am
Take an opportunity to see for yourself what is happening on another campus.  We’ll have breakfast on campus and then go for a campus tour to see what our colleagues at UPEI are doing in conference services. 

Dine Around Town
Tuesday October 7 6:00pm-8:30pm
Choose from one of three restaurants in Charlottetown (don’t worry, one of them serves great lobster!) and have dinner in a smaller group – a chance to really chat with your colleagues.  One of the host committee members will take you to the restaurant and make sure that you get to the Anne-iversary Party afterwards.

Anne-iversary Party
Tuesday October 7 8:30pm-10:00pm
30 years of CUCCOA! That sounds like a reason to celebrate.  The Anne-iversary Party will feature live musical entertainment, a tribute to CUCCOA’s last 30 years, and special Island guests who will help us celebrate while also celebrating the 100th Anniversary of Anne of Green Gables.  This will be a fun-filled, exciting evening.  There will even be gifts! We’re doing the logo exchange at this event so make sure to bring a gift with your school’s logo on it and attach your business card to it.  

Closing Banquet
Wednesday October 8 7:00pm-10:00pm
The closing banquet is a chance to officially close the conference and to recognize our members’ accomplishments. The program will include CUCCOA Awards, a presentation on the green-ness of the conference, revealing of the CUCCOA resume, and the announcement for the 2009 conference location.  It will be hosted at the Lucy Maud Dining Room, located at the Culinary Institute of Canada, an affiliate of Holland College. Prepare for a fantastic meal and a memorable evening. 

BYOB Maritime Kitchen Party
Wednesday October 8 10:00pm - ???
What would an east coast conference be without a Maritime Kitchen Party?  Bring your own beverages to this last chance to learn from your colleagues!!

In an effort to reduce the environmental impact of our annual conference, we are making some changes to this year’s gathering and calling it CUCCOA’s first ever “green” conference.  Our hope is that we will make decisions this year that can be built on year after year in order to reduce the environmental footprint we leave more and more each year.  We also hope that being involved in a green conference will help our members to be able to provide this value-added service to their own clients in the future.

In 1978, a group of professional conference organizers from universities and colleges across Canada identified the need for a national association that would unite their colleagues from coast to coast.

The Canadian University and College Conference Organizers Association has since grown to include over 75 members and engages in communication, marketing and advocacy activities on behalf of its members.

By having a national voice, CUCCOA members are supported in the challenges that they may face in growing the business of conferencing at their institutions. Of great value is the vast knowledge that is generously shared among members about the issues facing conference organizers working within educational institutions, both in day-to-day operations and long term planning.

Through a national marketing strategy, individual members are able to choose initiatives that best target potential clients. CUCCOA members have opportunities to take part in tradeshows and advertise in publications as part of the CUCCOA collective which maximize the effectiveness of those campaigns and stretch limited individual marketing and advertising budgets.

CUCCOA members provide a complete conference package to meeting planners and groups - from quality, affordable accommodations to first class meeting facilities, technological capabilities and food services.

Help us celebrate our accomplishments at the Anne-iversary Party on Tuesday October 7! 

Remember to look through your office, closet, and computer for old conference binders, programs and merchandise, as well as photos and other items that might be interesting for others to see. We’re even interested in your favorite memories and stories that you might have of people, incidents, sessions or other CUCCOA-related tidbits. The party will include gifts (this is where we’ll do our logo exchange so don’t forget to bring a gift with your campus logo on it), live music, an Anne-iversary cake, and special visitors from the Gentle Island who are celebrating their 100th Anniversary as kindred spirits.

Travel to Charlottetown
WestJet and Air Canada fly in to Charlottetown Airport (YYG) (which is located just 15 minutes from the Inns on Great George (conference site)  in downtown Charlottetown.


We are pleased to announce that CUCCOA Conference delegates are eligible to receive discounted fares when booking with WestJet. Using Conference Account Number QC# 5347, WestJet will offer a 10% discount off their best available regular fare at the time of the booking (excluding web and promotional fares). Attendees must make their travel arrangements through our WestJet Specialty Sales Team and quote the account number at the time of booking. You may also wish to fly in to nearby airports, rent a car and explore the East coast on your way to or from the conference:

Moncton Airport (YQM) -  The airport in Moncton, NB is about 2 hours (155km) from downtown Charlottetown.  Air Canada and WestJet fly into Moncton. All major car rental companies are available from the airport.

Halifax Airport (YHZ) – The airport in Halifax, NS is about 3.5 hours (290 km) from downtown Charlottetown.  Air Canada and WestJet fly into Halifax. All major car rental companies are available from the airport. 

Car-pooling
If you are taking a cab or renting a car to get from any of the airports, we encourage you to coordinate with other CUCCOA-ians in order to carpool and cut down on carbon emissions. Try using our discussion forum to connect and make these plans. 

Flights - carbon off-setting

The host site for CUCCOA of Greener Gables 2008 is the exquisitely appointed Inns on Great George.  Located in the heart of historic Charlottetown, just steps from the birthplace of Canadian Confederation, this site was chosen both for its intimate charm that lends well to the nature of CUCCOA’s annual conference but also for its green practices (they are involved in the Hotel Association of Canada’s Green Key program) and the convenient location that will allow us to walk to almost all events. 

The Inns have reserved almost the whole property for us and have arranged for a great reduced rate in recognition of this.  Please note, this is a boutique hotel and many of their bedrooms are in suites (converted townhouses) so if you have colleagues you are traveling with or willing to share a suite with, this will be necessary in order to accommodate everyone who will come to the conference.  The staff at the Inns will work with you to make appropriate arrangements for your group.  If you are interested in sharing a suite with others but are not sure who, please use our discussion forum to connect with each other.

GUESTROOM DESCRIPTIONS

Traditional Accommodations are standard guestrooms furnished with Island antiques and artwork with either one queen bed, one king bed or two double beds.

J.H. Downe House efficiency suites have either one or two bedrooms, and a large living room, dining room, large kitchen, washer/dryer, and single bathroom.

Townhouses are large efficiency units with living room, dining room, large kitchen, washer/dryer, single bathroom. One bedroom has a double bed and the second has two twin beds.

Bishop House is located behind the garden. This house has two bedrooms, one and a half baths, living room, large eat-in kitchen, washer/dryer, sun room and private parking.

Dorchester House - Two unit townhouse with kitchen, living room, dining room. One bedroom has on king bed and the second bedroom has a queen bed.

Gillis House - One bedroom efficiency with living room, private bedroom, and full sized kitchen.  

Harris House - Complete four-bedroom house with two full baths, large eat-in kitchen, living room, and spacious backyard.

Witter Coombs 3-Bedroom Suite – Deluxe suite with kitchenette, common area, two full baths, one bedroom with two double beds and two bedrooms each with one queen bed.
